Automatic Evaluation Scheduling

Written by Yomira Cortez | December 23, 2025

In risk management, time and consistency are as critical as methodology. However, many organizations still rely on manual processes to create evaluation plans, which increases operational workload, the risk of errors, and delays in decision-making. Faced with this challenge, a new functionality emerges that marks a turning point: Automatic Evaluation Scheduling.

This new module automates the creation of risk and control evaluation plans, transforming a repetitive task into an intelligent, periodic process aligned with the organization’s strategy.

What is Automatic Evaluation Scheduling?

Automatic evaluation scheduling is a parametrization module that allows the automatic and periodic creation of risk or control evaluation plans within management systems.

This functionality eliminates the need to manually create evaluation plans and associate risks or controls one by one. The system generates these plans based on predefined conditions, such as the type of risk, associated processes, or risk appetite level.

The module is available for ORM, ISMS, AML, and Compliance systems, and can be used from the Enterprise plan.

How does the module work?

The module operates on three key pillars: frequency, configuration, and conditions.

First, the user accesses the Parametrization module, selects the management system, and enters Evaluation Scheduling. From there, they create a schedule, which can be active or inactive. Only active schedules automatically generate evaluation plans.

During general configuration, the following are defined:

  • Schedule name

  • Type of evaluation (risks or controls)

  • Frequency (monthly, quarterly, semiannual, or annual)

  • Available time to perform the evaluation

Next, the configuration defines how the evaluation plans will be created:

  • Name and description of the plan

  • Responsible person and responsible groups

  • Evaluators, who can be the risk creator or a specific user

Finally, the scope of the evaluation is set, determining which risks or controls will be included. The system allows:

  • Including all default risks

  • Defining specific criteria, such as:

    • Risks associated with certain processes

    • Risks whose residual level matches a specified risk appetite (high, critical, etc.)

The condition engine works with logical groups:

  • Within the same group, risks must meet all conditions.

  • Between different groups, meeting at least one condition is sufficient.

Once the schedule is created, the system displays key information such as last execution, next execution, and status, ensuring traceability and control.

Benefits and value for the organization

Automatic evaluation scheduling is not just a functional improvement; it is a strategic tool that generates direct value for the organization.

Its main benefits include:

  • Significant operational time savings, by eliminating manual creation of evaluation plans.

  • Consistency and standardization, ensuring evaluations are conducted under clear and repeatable criteria.

  • Better focus on critical risks, thanks to the ability to evaluate according to risk appetite and key processes.

  • Reduction of errors and conflicts, avoiding duplicate evaluations of the same risk in different plans.

  • Greater maturity of the management system, by integrating evaluation as a continuous and automated process.

From a commercial and strategic perspective, this functionality allows risk, compliance, and audit teams to move from operations to management, focusing on analysis, decision-making, and generating business value.

In an environment where speed and accuracy are decisive, automating evaluations ceases to be an optional advantage and becomes a key enabler of sustainable growth.
